Website hosting and security

Our website and submission email service are hosted by STRATO GmbH, Germany. Connection data such as IP address, request time, requested resource and browser information are processed to deliver and protect the service, based on our legitimate interest in secure operation (Article 6(1)(f) GDPR). STRATO states that identifiable visitor IP addresses used to prevent attacks are retained for a maximum of seven days. Our form also uses an IP-derived hash and submission timestamp to limit repeated submissions; entries older than 24 hours are removed when another submission is processed. STRATO processes hosting data on our behalf.

Demo submissions and contact

We receive your submission category, artist name, track title, listening link and email address by email, so we can review your music and contact you. Reviewing a proposed collaboration is based on Article 6(1)(b) GDPR where this concerns steps towards a contract at your request; other enquiries and promotional submissions are processed under Article 6(1)(f) GDPR, based on our interest in handling your enquiry. Required fields are necessary to review your submission; you are not legally obliged to submit music. We do not automatically fetch the song link when you send the form. When we listen, the linked service processes access according to its own privacy information. We do not add your address to a marketing mailing list.

Retention and recipients

Submissions that do not lead to collaboration, including related emails and our own copies, are deleted when no longer needed and no later than 24 months after receipt. Collaboration records may be retained longer for the project or applicable statutory obligations. Other correspondence is retained only as necessary for its purpose or legal obligations. Data are accessed by the operator and the service providers needed for hosting and email delivery, and by authorities where legally required.

Optional Spotify player

Cover artwork is served by this website. No Spotify player loads until you choose “Allow Spotify player”. This permits connection to Spotify AB, Sweden, which receives connection and device information and may process cookies, listening activity and account information if you are logged in. Spotify may process data outside the EEA, using the safeguards described in its privacy policy. Loading this optional content is based on your consent (Article 6(1)(a) GDPR and Section 25(1) TDDDG where device storage or access occurs). You can withdraw consent using “Disable Spotify player”; this removes the embed and stops further loading. It cannot undo past processing or delete cookies already set by Spotify. Consent is held only for the current page and resets on reload. Direct Spotify links leave our website when clicked. Details: Spotify privacy policy.

Your rights

Subject to the applicable conditions, you may request access, correction, erasure, restriction or portability of your data. You may object to processing based on legitimate interests and withdraw consent for future processing without affecting its previous lawfulness. Contact us at the address above. You may complain to a supervisory authority, including LDI NRW. We do not make automated decisions with legal or similarly significant effects.

Cookies and analytics

The website does not use its own analytics, advertising trackers or persistent consent cookies. The optional Spotify player may use Spotify cookies after activation.
